FAQs

Common questions, clearly answered.

Straightforward answers to what businesses usually want to know before working with us.

What does West Country Automation actually do?

We build systems that remove repetitive operational work from your business. Instead of people spending hours on admin, enquiries, follow ups, reporting or data entry, those processes run automatically in the background so your team can focus on higher value work.

What kinds of businesses do you help?

Any business where a meaningful amount of staff time is spent on repetitive operational work. This includes admin, recruitment, enquiries, reporting and internal workflows.

Businesses of all sizes benefit, though the impact tends to be most immediate for those where every hour saved directly improves capacity and profitability.

Have you worked with businesses like mine?

Yes. One recent example is Lilies Home Care, where we automated a recruitment admin process that was consuming hours of the founder's time every week. The system now runs itself, saving around six hours a week from day one. You can read the full case study on our testimonial page.

What exactly can you automate?

We typically work across six areas:

  • Enquiries and lead handling
  • Follow ups and client communication
  • Recruitment and onboarding
  • Bookings and scheduling
  • Reporting and admin
  • Internal workflows between tools

If a process is repetitive, rules based or happens frequently, it is usually a candidate for automation.

Do you build websites as well as automation systems?

Yes. We build websites designed to work with automation from the start, so enquiries are automatically captured, responded to and routed correctly.

Do I need to understand AI or automation to work with you?

No. You do not need any technical knowledge. We identify what can be automated, design the solution and explain everything in plain terms throughout.

How does the process work?

It starts with a free 30 minute call to understand your business and identify where time is being lost.

After the call, we design a solution and send a formal proposal outlining scope and expected value.

Once agreed, we build and test the system. When it is ready, we deploy it with full documentation and support.

You can also use our Free Savings Estimate tool before the call if you want an initial indication of potential impact.

How do you decide what to automate?

We focus on work that is repetitive and has a clear measurable impact, such as time saved, cost reduced, fewer errors or faster response times.

The goal is to prioritise changes that create meaningful operational improvement, not small marginal gains.

How quickly will I see results?

Usually as soon as the system goes live.

Because we focus on high impact workflows first, improvements are typically immediate rather than gradual.

What if I already have systems in place?

That is not a problem. In most cases we work with your existing tools rather than replacing them.

The biggest gains often come from connecting systems together so information flows properly between them.

Will this disrupt my existing processes?

No. We map your current workflow, build around it and test thoroughly before anything goes live.

Nothing is switched on until we are confident it will run reliably in your day to day operations.

How does pricing work?

We agree a measurable baseline with you on a call, set a fixed implementation fee based on that value, and only invoice once the system is live and performing as agreed. If we cannot deliver the agreed outcome, you do not pay for the build. See our pricing page for a full breakdown of how it works.

What if the automation breaks or something changes?

We monitor and maintain your system through the monthly retainer.

If something breaks or needs updating due to changes in your tools or processes, we fix it. Because we built the system, issues are usually resolved quickly.

What is included in the monthly retainer?

The retainer covers monitoring, maintenance, fixes, updates and ongoing support.

It ensures your system continues to work as your business evolves, and you always have a direct point of contact who understands your setup.

How do you measure the value of an automation?

We measure value based on tangible business impact. Time saved, cost reduced, errors avoided and revenue gained from improved efficiency.

We agree this baseline with you before any work begins so everything is clear and measurable from the start.

How much time or money could automation save me?

The easiest way to find out is to use our Free Savings Estimate tool. It gives you an instant indication of potential savings based on your processes, and you can follow that up with a call for a deeper analysis.

What makes you different from a large agency?

You work directly with the people building your system with no account managers or unnecessary layers in between.

We focus on delivering practical outcomes and we would rather build one high impact system than sell you a package of features you do not need.

How do you handle data and UK GDPR?

We design systems with UK GDPR in mind from the start. We only use the data necessary for each workflow and ensure it is handled appropriately, securely and transparently.

Do you offer guarantees?

Yes. If we agree a baseline outcome and cannot deliver it, you do not pay for the build. We only take on work where we are confident we can create measurable impact.
